Position
We seek a detail-oriented, proactive, and people-focused Operations Associate to be the backbone of our NYC office. This role is perfect for someone who thrives in a dynamic environment, loves solving problems before they arise, and takes pride in creating seamless workflows. You’ll wear many hats—from office logistics to HR and culture support to being the welcoming face of SHI NA—all while contributing to meaningful work that impacts Jewish communities worldwide. This position is based in our New York office five days a week.
Responsibilities
Operations

  • Be the “go-to” for smooth office management: oversee supplies, vendor coordination, building staff, service calls, and workspace readiness (including plant care).
  • Lead meeting/event setups (board meetings, staff retreats, programs) and ensure our kitchen and storage spaces are organized, clean and workable for all.
  • Tackle general administrative projects with precision, from credit card coding to inventory tracking.
  • Welcome and orient team members, visitors, and program participants to our office, and support and coordinate visits.
    HR and Culture
  • Support employee engagement initiatives like communal lunches and other forms of communication that ensure alignment, such as our team calendars.
  • Play an important role in welcoming new employees and facilitating their onboarding.
  • Help us hire the right people by managing applicant tracking software, providing support with job postings, and maintaining our organizational chart.
    Who You Are
  • A systems thinker with eagle-eyed attention to detail and a love for order, with 1-5 years of relevant operations or administrative experience.
  • A people person with stellar communication skills and a warm, professional demeanor.
  • A self-starter who anticipates needs and solves problems with discretion and tact.
  • A multitasking pro who stays cool under pressure and adapts to shifting priorities.
  • Someone with a sense of humor, alignment with the mission of the Shalom Hartman Institute, and the ability to lift and move light to medium weight boxes as needed.
    Salary range and benefits
    Estimated salary $60,000 - $65,000, commensurate with experience. Very competitive benefits package. SHI NA is an equal opportunity employer.
