Synagogue Administrative Assistant
Location: Phoenix, AZ 85021
Beth El is seeking a dedicated and proactive Synagogue Administrative Assistant to support our clergy and administrative staff with both relational and administrative tasks. The ideal candidate will be familiar with Jewish rituals and customs or demonstrate a strong willingness to learn. Attention to detail and excellent communication skills are essential for this role.
Key Responsibilities
Pastoral/Relational Assistance:
Schedule appointments for the clergy regarding conversion, membership, bikkur cholim visits, etc.
Coordinate B’nei Mitzvah meetings according to the established timeline.
Manage the logistics of Bnei Mitzvah and other rituals, including honor sheets, rehearsals, and gifts.
Assist with lifecycle events, including births, weddings, and bereavements, ensuring appropriate cards/letters are sent.
Conduct regular follow-ups to ensure all tasks are completed and document all correspondence in CRM software.
Administrative Assistance:
General office duties
Answer phones and greet visitors
Prepare and process daily mail and larger mailings
Printing monthly newsletters, updating flyer displays, and assisting callers with registration.
Assist with maintaining office equipment
Lifecycle Management
Prepare and mail yahrzeit, birthday, and anniversary letters.
Schedule correspondence on the calendar as necessary and track lifecycle changes, including Hebrew names.
Record and update lifecycle events in ShulCloud and maintain membership files.
Set reminders for clergy regarding Shloshim, Yahrzeit, and significant birthdays (80+).
Manage notifications for getting up from Shiva and handling first Yahrzeits, ensuring timely outreach by the rabbi.
Preparation for Teaching: Copy and prepare materials for weekly classes, D'var Torah, and study sheets.
Qualifications and Skills
Excellent organizational skills
Excellent verbal and written communication skills including the ability to interact in a friendly and professional manner in person, over the phone, and in written correspondence.
Ability to maintain confidentiality and manage sensitive information effectively.
Experience with database management; ShulCloud knowledge a plus
Familiarity with Google Suite, Microsoft Office, SignUpGenius.com, and other office-related software
Familiarity with Jewish rituals and customs is preferred, and a strong willingness to learn about specific Jewish ritual needs and terminology is required
Ability to read or knowledge of Hebrew is a plus.

Salary is $20 per hour for 20 hours per week; this position is non-exempt
