Position
We seek a detail-oriented, proactive, and people-focused HR and Operations Coordinator. This role is perfect for someone who thrives in a dynamic environment, loves solving problems before they arise, and takes pride in creating seamless workflows. You’ll wear many hats—from office logistics to HR and culture support to being the welcoming face of SHI NA.
This position requires someone who exercises exceptional judgment, is highly organized and service-oriented, has strong communication skills, and is adept at managing high-level relationships of all kinds with discretion. Based in our New York office at least four days per week, the ideal candidate for this position thrives in a fast-paced environment and can prioritize and complete multiple detail-oriented tasks with professionalism and excellence.
Responsibilities
HR Administration
-Help us hire the right people by managing applicant tracking software and maintaining our organizational chart.
-Prepare letters, contracts, and onboarding documentation for employees and contractors.
-Play an important role in welcoming new employees and facilitating their onboarding.
-Manage the onboarding process end-to-end, liaising with other teams as needed.
-Track contract terms, renewals, and payment schedules.
-Ensure employee data is accurate, including PTO tracking, timecard compliance, and training records.
-Liaise with benefits companies.
-Maintain organized, compliant HR records.
-Support the VP of Talent Development and Strategic Impact on ad hoc projects as needed.
Operations
-Support proper set up and breakdown of conference rooms for meetings and programs.
-Assist with preparations for programs in the office, board meetings, staff meetings, staff retreats, and general administrative support as needed including liaising with caterers.
-Support smooth office management vis a vis supplies, vendor coordination, building staff, service calls, and workspace readiness (including plant care).
-Ensure our kitchen and storage spaces are organized, clean and workable for all.
-Tackle general administrative projects with precision, from credit card coding to inventory tracking.
Qualifications
-2 - 4 years of administrative or executive assistant experience
-Exceptional organizational skills and attention to detail
-Strong writing, editing, and interpersonal communication skills, with high level of professionalism and attention to appropriate correspondence tone
-High level of discretion and judgment with sensitive information
-High proficiency in Microsoft Office applications; Monday.com and Salesforce a plus
-Ability to manage competing priorities with calm and focus
-Knowledge of Jewish Communal landscape a plus
-Alignment with the mission and values of the Shalom Hartman Institute
-Good sense of humor
-Ability and willingness to travel occasionally
-Ability to staff occasional evening or weekend programs
-BA/BS or equivalent
Salary and benefits: $65,000 per year, commensurate with experience. We offer a very competitive benefits package.
