POSITION OVERVIEW The Administrative Assistant supports the daily operations of Congregation B’nai Tikvah (CBT) by providing administrative and clerical support to the Executive Director/Synagogue Administrator and clergy. This includes front desk receptionist responsibilities, including answering/screening all calls and visitors. This role helps ensure smooth office operations by assisting with communications, scheduling, records management, member services, and event logistics. The position is highly detail‑oriented and service‑focused, requiring strong organizational skills and professionalism.
QUALIFICATIONS The ideal candidate is organized, dependable, detail‑oriented, and comfortable working in a fast‑paced office environment. Strong written and verbal communication skills and the ability to manage multiple priorities are essential. Proficiency in Microsoft Office (Word, Excel, Outlook) and comfort learning synagogue management software (e.g., Shalom Cloud) are required. Prior administrative or customer‑service experience is preferred. Familiarity with Jewish holidays and lifecycle practices is helpful but not required.
CORE RESPONSIBILITIES Office and Administrative Support • Provide administrative support to the Executive Director/Synagogue Administrator and clergy • Answer phones, greet visitors, and respond to inquiries in a professional and welcoming manner • Maintain calendars, schedule meetings, and coordinate appointments • Assist with correspondence, mailings, data entry, filing, and document preparation and other tasks as assigned
Communications and Member Services • Assist with preparation and distribution of synagogue communications • Maintain accurate member contact records and update database information as needed • Support member inquiries regarding programs, events, and general synagogue matters
Programs and Event Support • Provide logistical support for services, holidays, lifecycle events, educational programs, meetings, and community events • Assist with room setup coordination, materials preparation, and follow‑up tasks • Help manage RSVP tracking and attendance lists Clergy Support • Assist clergy with scheduling, correspondence, and administrative needs • Prepare materials and documents as requested Financial and Office Operations Support • Assist with basic billing support, including preparation of invoices and recording payments • Support data entry for dues, pledges, and program fees • Monitor office supply inventory and assist with ordering COMPENSATION AND SCHEDULE This is a full‑time position, typically scheduled for 35 hours per week. The Administrative Assistant plays an important role in helping CBT operate efficiently while maintaining a welcoming, responsive, and professional environment for members, staff, and visitors.
